Section 1
Who we are
The Bailey Tutoring Group ("BTG", "we") provides one-to-one online tutoring programmes for GCSE and A-Level students. We are the data controller for the personal information collected through this website and in the course of running our programmes. Questions about this notice, or about how your information is handled, can be sent to info@baileytutoringgroup.com.
Section 2
What we collect
We collect only what is needed to respond to you and to run the programme.
- Contact details you give us: the parent or guardian's name, email address and phone number, provided when you book a consultation call or write to us.
- Booking information: the appointment details you choose when booking through our scheduling provider.
- Student information needed to run the programme: the student's name, school year, subjects, exam board, assessment results (including the baseline and final assessments), session notes and progress records.
- Correspondence: emails and messages exchanged with us or with the assigned tutor.
- Technical data: our hosting provider records standard server logs, such as IP addresses, to keep the website secure. This website does not use analytics or marketing cookies.
Section 3
How we use it
We use personal information to respond to enquiries, to run the consultation call, to match the student with a suitable tutor, to deliver the tutoring programme (including assessments, session notes and progress reporting), to take payment and keep accounts, and to meet our legal and safeguarding obligations.
Our lawful bases under UK data protection law are: performance of a contract (running the programme you have enrolled in), legitimate interests (responding to enquiries and administering our service), legal obligation (accounting and safeguarding requirements), and consent where we ask for it. A student's information is always collected from and handled with the involvement of their parent or guardian, and we treat children's data with particular care.
Section 4
Who we share it with
We do not sell personal information, and we do not share it with anyone for marketing.
- The assigned tutor sees the student information needed to teach them, and is bound by confidentiality and safeguarding obligations.
- Service providers who help us run the business process limited information on our behalf: scheduling (Calendly), email (Zoho Mail), website hosting (Netlify), and payment processing. Each receives only what is necessary to provide its service.
- Some providers may process information outside the UK. Where they do, transfers are protected by recognised safeguards, such as UK adequacy decisions or standard contractual clauses.
Section 5
Retention
We keep personal information only for as long as it is needed. If you enquire but do not enrol, we delete your details within a reasonable period after the enquiry closes. If you enrol, programme records are kept for the duration of the programme and afterwards only as long as needed to meet legal and accounting obligations, which for financial records is up to six years. Records are then deleted or anonymised.
Section 6
Your rights
Under UK data protection law you have the right to:
- request a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our use of it;
- receive your information in a portable format;
- withdraw consent at any time, where we rely on consent.
To exercise any of these rights, contact info@baileytutoringgroup.com. If you are unhappy with how we have handled your information, you also have the right to complain to the Information Commissioner's Office at ico.org.uk.
